POSITION SUMMARY: The Payroll & Benefits Administrator is responsible for independently managing all aspects of payroll and benefits operations across multiple states and a remote workforce. This role ensures accurate payroll processing, benefits administration, and compliance with all federal, state, and local regulations. The ideal candidate will have deep knowledge of payroll practices, leave policies, and benefits programs, and will demonstrate a strong ability to work autonomously with minimal direction.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
1. Accurately process biweekly payroll using ADP Workforce Now, including earnings, deductions, garnishments, and adjustments.
2. Administer benefits programs including medical, dental, vision, 401(k), COBRA, HSA/FSA, and disability plans.
3. Ensure compliance with multi-state and local payroll regulations, including remote employee tax withholding, wage laws, and reporting requirements.
4. Review timekeeping data for completeness and accuracy, liaising with managers as needed.
5. Manage employee lifecycle changes related to payroll and benefits (new hires, terminations, leaves of absence, status changes).
6. Serve as a point of contact for payroll and benefits inquiries, resolving issues with discretion and accuracy.
7. Administer and track FMLA, ADA, workers' compensation, and other leaves, ensuring compliance and communication.
8. Maintain and audit employee records, including I-9s, tax forms, and benefits elections.
9. Reconcile payroll registers and benefit invoices; ensure timely payment and accurate reporting.
10. Collaborate with People Operations and Finance to support reporting, audits, and annual filings (e.g., ACA, 1095-C, W-2s).
11. Ensure all payroll and benefit processes comply with internal controls and confidentiality standards.
12. Maintain up-to-date knowledge of employment laws, benefit regulations, and ADP system enhancements.
13. Aids in system administration within the HRIS, including configuration, user support, and data integrity.
14. Perform other duties as assigned.
PREFERRED QUALIFICATIONS:
a. 5-6 years of payroll and benefits administration experience, with proven autonomy
b. Advanced knowledge of ADP Workforce Now required
c. Strong understanding of multi-state payroll regulations and remote employee compliance
d. Experience administering and tracking employee leave programs (FMLA, ADA, etc.)
e. Proficient in Excel and payroll reporting
f. High attention to detail and organizational skills
g. Excellent communication, problem-solving, and confidentiality practices
h. Must pass a criminal background check
WORK ENVIRONMENT and PHYSICAL REQUIREMENTS:
i. Ability to sit at a computer terminal for an extended period of time.
ii. While performing the duties of this job, the employee is regularly required to, stand, sit; talk, hear, and use hands and fingers to operate a computer and telephone, keyboard, reach, stoop and kneel.
iii. Specific vision abilities required by this job include close vision requirements due to computer work.
iv. Regular, predictable attendance is required as business demands dictate.
